Overview / Responsibilities

Wood is currently recruiting for an HSSEA Administrative Assistant with EMT experience to provide administrative support for the New-Indy Project Columbia project site.


Main Responsibilities:

  • Assist with the preparation and maintenance of HSSE policy and procedure manuals
  • Assist with the preparation and formats large, complex reports, presentations and studies using a combination of software. Perform research and prepares reports as requested. 
  • Prepare documentation and correspondence, compose memos, transcribe notes, and take dictation and meeting minutes.
  • Organize and maintain confidential files and records of a particularly sensitive nature
  • Track client and third-party correspondence; develop, gathes and maintain HSSE data for routine HSSE reports and regulatory documents. Prepare status reports.
  • Track incidents and maintain HSSE records and HSSE tracking database system.
  • Work with more senior HSSE professionals on complex assignments to continue to increase HSSE knowledge.
  • Process and monitor departmental invoices and expense reports.
  • Coordinate, arrange and schedule appointments, meetings and/or conferences. Maintain schedules for HSSE Manager.  May arrange travel and coordinate travel accommodations.
  • Maintain and order office supplies and safety equipment for department and/or project.
  • Assist in the presentation and tracking of onsite safety orientation training for new-hire employees and subcontractors.
  • Ability to provide first aid care and work with medical providers for the care and treatment of any injuries incurred on site.

Skills / Qualifications

  • EMT Certification
  • Proficient in the use of Microsoft Office suite
  • Excellent customer service skills with the ability to communicate courteously and effectively with all site personnel.
  • Detail-Oriented
  • Excellent organization and filing skills
  • Strong written and verbal communication skills
  • Ability to operate learning management systems and other collaboration and media tools/platforms.
  • Must maintain confidentiality
  • Ability to manage multiple tasks/projects in a high-paced, high-performance work environment
  • Ability to work with the team to solve problems as they arrive
  • Other duties as specified by leadership team
  • Authorization to work lawfully in the United States without sponsorship from Wood is required
